2025 winter conference vendor instructions

We are excited to welcome you to our annual Vendor Fair for the CT NOFA 43rd Annual Winter Conference on March 1, 2025 at Eastern CT State University - Student Center, in Willimantic, CT.

Set up
  • Please plan on arriving at the Student Center @ Eastern CT State University between 8:00-8:45 am for set up. You may park on the side of the Charter Oak Road with your hazard lights on (closest to the Student Center), unload, set up, and then park your car in Shakespeare or Cervantes Parking Garages. See map. 
  • NOTE: the most direct route to the Student Center from High Street is the Charter Oak Entrance, across from the police department.  You will pass the parking garages as you circle around the bend to Student Center Building.  Student Center Google Map
  • Upon arrival, please visit the registration table located immediately inside the Student Center on the Ground Floor. Once checked-in, a volunteer will show you to your table on the second floor. There is an elevator on the ground level, should you need it.
  • You will receive WIFI information upon check-in, and be provided with a 6ft table, and chair(s). If you requested access to an electric outlet, you were assigned to a location near one. Not every table will have access. You are welcome to bring your own tablecloths and banners.  Tablecloths will not be provided.
Breakdown
  • You may break down anytime during the 3rd session, starting at 4:15 pm. The conference officially ends at 5:30pm.  If you plan on leaving earlier than 4:15pm, please let us know ahead of time.
  • During breakdown, use the same process as set-up: bring your car to the Student Center and park on the side of the Charter Oak Road with your hazards on.  We ask that you do your best to take down all signage, pick up trash, and leave the table and chair(s) as you found them.
Other info
  • Lunch will be provided. You will have a chance to get lunch at 12:00pm, before our attendees, so that you may be at your table during lunch, when some attendees will be visiting vendors. Gluten free and vegetarian options will be available.
  • The student cafe will be open in the morning for coffee, tea, drinks, and snacks. This is not included in your price.
  • If you have anyone else attending that you did not indicate on our form, please let us know so we may send you an invoice and get an accurate lunch count. We will take care of registration.
  • New CT Farmer Alliance will be hosting a social hour, Cabbage Moth Hour, right after the conference at the Willimantic Textile and History Museum, 411 Main Street, Willimantic, CT 06226. We invite you to join the event to network and enjoy a drink with fellow colleagues.

FAQ

 

HOW MANY CHAIRS ARE PROVIDED? You will be provided a 6ft table and 2 chairs. We can provide more chairs, if needed.

MAY WE BRING AN ADDITIONAL SMALL TABLE, IF NECESSARY? Unfortunately, no.

DO YOU HAVE A SHOW PROGRAM THAT WILL ADVERTISE OUR PRODUCTS? Not on our digital or physical programs. We promote vendors through social media and on our website.

DOES THIS SHOW ATTRACT OUT-OF-STATE ATTENDEES? Yes- from all across the northeast. We expect anywhere from 350 - 400 attendees.
